Wraparound Electronic CANS Database

The DAETA Team collects Child and Adolescent Needs and Strengths (CANS) data from Wraparound programs in Oregon. The team uses this data to monitor progress on needs reduction and strengths development during the program.

Wraparound is a team-based planning process for youth with complex mental health needs. Families enrolled in Wraparound receive intensive case management, which includes bringing together providers, family members, and community supports to address the holistic needs of the youth and family. Wraparound is available to youth enrolled in Medicaid (Oregon Health Plan). Coordinated Care Organizations (CCOs) and OHA contract with community mental health agencies to provide Wraparound services. For more information about Wraparound, visit OHA's website.

Data Collection Guidance for Providers

Please attend a REDCap training to learn about what data is required and how to submit that data to the 博彩网站 DAETA Team. Wraparound REDCap Trainings are only available on an as-needed basis, so please reach out to us at wrapinfo@ohsu.edu to schedule a REDCap training. After attending the training, refer to the FAQs below for more information and reach out with any additional questions.

Please email us at wrapinfo@ohsu.edu with the name, email, job title, and organization of the staff member that needs user access granted or removed.

If access is being requested, we will send a request to REDCap to create the account and the staff member should receive an automated email from REDCap with instruction on how to set up their REDCap account once it’s created. REDCap is typically able to create the account within a week or so.

If access is being removed, the user will no longer be able to access the project within a few days of the request. This will not affect any past CANS data the person may have entered into the system.

We have to add you to the project on the back end once your REDCap account is created, so we will do this as soon as we can. Email us at wrapinfo@ohsu.edu to request to be added to the project and we should be able to complete the request within a few days.

If you are logged in and in the “My Projects” tab, in the top right corner click “more” and then click “Profile.” From there you can change the email associated with your account. If you are unable to log in, then email us at wrapinfo@ohsu.edu and we can help sort it out for you.

Email us at wrapinfo@ohsu.edu with the name of the care coordinator that needs to be added or removed to the drop-down menu and we can add them for you.

External REDCap users are not eligible for attending Basics or Survey REDCap trainings that are offered through the OCTRI office at 博彩网站. These trainings are for 博彩网站 staff that are building REDCap databases and are not applicable to external users. Instead, please reach out to our team at wrapinfo@ohsu.edu if you have questions, please do not sign up for help sessions in REDCap.

Setting up a youth’s profile in REDCap takes around 5-10 minutes. The CANS will depend on which workflow you choose – if you have care coordinators filling it out in real time in REDCap, it should take them about the same amount of time it takes them to fill out the CANS on paper. If you’re having someone transcribe the paper responses into REDCap, it will take about 10 minutes.

From the home page, click on the wraparound project. Then, click on “Add/Edit Records” in the left pane under the data collection section. Next, click the green “Add new record” button and then click the enrollment form status icon. From there you are in the enrollment form and you can fill out the form with the youth’s name, DOB, enrollment date, Wrap ID, your program’s details, the wraparound care coordinator assigned to the family, and the email of the wraparound care coordinator. Next, choose the survey distribution method. If you want the wraparound care coordinator to receive automated email reminders to enter the CANS, then select “yes.” If you want your data partner to enter data directly into REDCap, then select “no.” Finally, change the status of the form to complete and then click “save and exit.”

You can just use whatever Wrap ID naming format your program has used in the past.

We schedule all of the CANS emails based on the enrollment CANS completion date. We did this so that CANS reminder emails are sent on a regular schedule, even if a CANS is late or missed. For example, if the wraparound care coordinator skips the 6-month CANS, the 9-month CANS reminder email will still get sent when it’s due.

Below are some steps you can take:

  1. Add a new record as usual and complete the enrollment form. Select “yes” to the coordinator question if that’s the workflow your team uses.
  2. Before your data partner or care coordinator enters the enrollment CANS, you need to take the following steps for each re-assessment you want to skip. We will use an example of entering data for a youth enrolled in July 2021 but wanting to skip forward to the current (12 month) re-assessment.
    1. Open the CANS you want to skip (3 month)
    2. Select the checkbox
    3. Mark the form status as complete and save and exit the form. The form will give you a warning, click “ignore and leave record”
    4. Reminder emails will not be sent for any forms with the checkbox selected and form marked complete.
    5. Complete these steps for all re-assessments that you want to skip (6-month, 9-month)
    6. Do not do anything to the first re-assessment that you’d like completed by the care coordinator (12-month)

3. Go back and complete the enrollment CANS (either directly in REDCap or via the automated survey, either is fine). The steps above need to be completed before the enrollment CANS is completed or the stop logic does not function correctly. There is a 15 minute delay for the enrollment CANS to be sent to the care coordinator, so that you have a short period of time to complete the steps above.

One final note – this checkbox exists on the survey care coordinator version as well. If they do receive an email for a CANS they’d like to skip, all they need to do is select the checkbox and the survey will end/the form will be marked as complete in REDCap.

Contact us at wrapinfo@ohsu.edu to request data be deleted. This is something we have to do on the backend since deleting data requires special permissions.
